Special Exception/Approval Request Form (Undergraduates)

Uses:

  1. The waiver of a required academic course.

  2. The substitution of one course for a required course.

  3. Enrollment at another institution as a transient student, in a correspondence course, or as a concurrent UALR student.

  4. Completion of final hours at another institution.

General Instructions:

Complete the form (which is located in the Office of Records and Registration in Administration South 203), obtain appropriate signatures (must have both chair and dean signature) and return to the Office of Records and Registration for final approval. You may also return the form to the Office of Records and Registration and they will send the form to the proper departments for signatures. Once the form is sent back to Records and Registration your copy will be sent to you.

Instructions for #1, Waiver of a required academic course:

This should be discussed with your academic advisor or if you are an undeclared major you can discuss waivers with the Office of Academic Advising.

Instructions for #2, Substitution of one course for a required course:

This should be discussed with your academic advisor or if you are an undeclared major you can discuss substitutions with the Office of Academic Advising. This is used for classes transferred to UALR that are general “Lower- level or Upper-level electives” that you and your academic advisor have found may substitute one course for another at UALR. The form must be approved in the department where the class is offered at UALR. For example, College Algebra would need to be approved in the Mathematics and Statistics Department. Different subject areas must be on separate special exception forms.

Instructions for #3, Enrollment at another institution:

This is used for students who are going to another university or college as a transient student or a concurrent student. Transient students go to that institution exclusively during a specific semester and concurrent students take classes at another institution as well as UALR that specific semester. The form should be completed and accepted by your major department or if you are an undeclared major it needs to be accepted by the Office of Academic Advising. Once the form is approved, you can take the class and then send an official transcript to the Office of Records and Registration after the course has been completed. If you are substituting one course for another, the form must be approved by the department where the class is offered. We will match the Special Exception Form to the transcript and post the classes to your transcript.

Instructions for #4, Completion of final hours at another institution:

This is to be completed and approved by the student’s major department prior to you attending the other institution. For example, if you must leave because of marriage or new job and would like to complete your degree from UALR at another institution, the Special Exception Form will be used to request permission from your major department. Once the form is approved, you can take the class and then send an official transcript to the Office of Records and Registration after completed We will match the form with your transcript and post the classes to your transcript. For graduation requirements the transcript should be sent as soon as possible so there are no unnecessary delays in awarding your degree.
